Abstract
Za podjetja, ki se v 21. stoletju še vedno poslužujejo papirnega sistema, lahko trdimo, da očitno zaostajajo za konkurenco. Ta podjetja imajo v prvi vrsti problem z obvladovanjem papirne dokumentacije, saj je velikokrat nepregledna, podvojena ali izgubljena. Prav tako pa ti sistemi postajajo zastareli. Tempo današnjega trga je naravnan na hitro prilagajanje in osvajanje nove napredne tehnologije, ki je čedalje bolj usmerjena v brezpapirno poslovanje.
Ne samo tehnologija, tudi poslovanje na državni ravni sili podjetja, da vzpostavijo elektronsko poslovanje. Vse javne institucije izdajajo in prejemajo račune v elektronski obliki, zato so podjetja, ki še nimajo vzpostavljenega elektronskega poslovanja prisiljenja k temu, da ga čim prej uvedejo. Med drugim pa večino komunicirajo preko elektronske pošte in telefona. Pri sklepanju posla se že marsikatero podjetje poslužuje elektronskih pogajanj. Vedno več podjetij se odloča za elektronsko poslovanje in v prvi vrsti uvedejo elektronski dokumentni sistem.
Elektronski dokumentni sistemi izboljšujejo poslovni proces, saj omogočajo zajem in digitalizacijo papirnih dokumentov, imajo določen delovni tok in življenjski cikel dokumenta, omogočajo shranjevanje, distribucijo, iskanje in arhiviranje dokumentov. Podjetjem dokumentni sistemi omogočajo hitrejše, preglednejše in učinkovitejše poslovanje. Prav tako zaposleni dostopajo do informacij in dokumentov ob pravem času in na pravem mestu.
Namen magistrske naloge je spoznati teoretična izhodišča dokumentnega sistema. Predvsem kako nastane dokument in kako deluje v dokumentnem sistemu. Teoretično izhodišče smo primerjali z dejansko uvedbo dokumentnega sistema na primeru podjetja Esot-Invest d.o.o. Proučili smo dokumentno rešitev, ki jo podjetje uporablja za upravljanje z dokumenti. Pregledali smo kako je potekala uvedba dokumentnega sistema in kakšne spremembe je doprinesla v podjetje. Prav tako smo proučili s kakšnimi stroški se je podjetje soočilo ob uvedbi in koliko je podjetje prihranilo.

For companies that are still using paper-based system in the 21st century it can easily be said that they are obviously lagging behind the competition. Their primary problem is the management of paperwork, as it is often non-transparent, duplicated or even lost. Also, these systems are becoming out-of date. The pace of today's market is focused on the rapid adaptation and conquering new advanced technology that is increasingly directed towards paperless operations.
Not only the technology but also business operations at the national level force companies to set up online businesses. All public institutions are issuing and receiving invoices electronically, this is why the companies, which haven’t established an e-commerce yet, are forced to introduce it as soon as possible. Among other most of the communicating is done via email and phone. When concluding business, many companies are using electronic negotiations. Besides, more and more companies are adopting e-commerce and are therefore primarily introducing an electronic document management system.
Electronic document management systems improve business processes since they allow capturing and digitalizing of paper documents, enable a specific workflow and life cycle of individual documents, allow storage, distribution, retrieval and archiving of documents. Document management systems enable faster, more transparent and more efficient business operation. They also enable the employees the access to information and documents at the right time and the right place.
The purpose of the master's thesis is to understand the theoretical basis of document management system. In particular, how a document is established and how it works in the document management system. A theoretical basis was compared with the actual introduction of the document management system in the case of the company Esot-Invest d.o.o. We examined the document management solution, which the company uses to manage documents. In addition to that we examined how the introduction of the document management system was carried out and what changes it has contributed to the company. We have also studied what costs the company had to face while introducing the system and how much it has saved. |
