Abstract

Pisarniško poslovanje je eden ključnih elementov v veleprodajnem mikropodjetju, saj se vsi procesi, ki se izvajajo, vežejo na pisarniško poslovanje. Vsaka pripravljena ponudba, dobavnica, račun, stik s stranko, vsak izdani dokument morajo biti zabeleženi in shranjeni, ker tako zahtevajo knjigovodski standardi in ker imajo s tem ostali zaposleni pregled nad celotnim dogajanjem okoli določene stranke. Zato je tudi zelo pomembno, da so programi med seboj povezljivi in pregledni. Za uspešno delovanje mikropodjetja je ključnega pomena optimalno pisarniško poslovanje, ki je v današnjem času vezano na poslovno računovodski program, CRM ter spletno stran podjetja. Programi, ki so med seboj povezljivi, omogočajo hitrejše in učinkovitejše pisarniško delo in pripravo dokumentacije, ki je potrebna za optimalno oskrbo strank. Mikropodjetja v večini nimajo specifično razdeljenih delovnih področij oziroma oddelkov, posledično tudi ne specifičnih služb, ki bi jim nudile podporo pri posameznih fazah dela. Zato je še toliko bolj pomembna ustrezna izbira pisarniških pripomočkov, saj si lahko vodilni v podjetju z njimi najučinkoviteje organizira delo. Vodilni v mikropodjetju je odgovoren za vse dejavnosti podjetja in pisarniške pripomočke, ki so na razpolago za uspešno izvedbo teh dejavnosti. V podjetju Zagros d. o. o., na katerega se nanaša diplomsko delo, mora tako vodja kot zaposleni poznati in izvajati vse delovne procese v podjetju – od iskanja potencialnih kupcev, vnosov strank, priprave ponudbe, svetovanja strankam, naročanja materiala, priprave paketov, izdaje tehnične dokumentacije (tehnični listi, certifikati, izjave o skladnosti) do zaključka posla, ko je prejeto plačilo za dostavljene izdelke in opravljene storitve. Z učinkovitimi in povezljivimi programskimi rešitvami, preko katerih lahko dostopajo vse želene informacije v danem trenutku in kraju, se delo opravi hitreje, učinkoviteje in bolj kakovostno. Zato je izredno pomembno, kakšna orodja pisarniškega poslovanja uvedejo v mikropodjetju. Enako pomembno je tudi, da znajo izbrana orodja pisarniškega poslovanja pravilno in učinkovito uporabljati.

Secondary abstract: Back office management is one of the key elements in a wholesales micro company, because all the business processes are closely connected with it. Every prepared offer, delivery note, invoice, every lead or customer contact, every issued document must be registered and saved in accordance with bookkeeping standards. With this a clear overview of the customer activity is enabled also for the rest of the co-workers. Out of that reason, all the software solutions in a company must be strongly interconnected. For successful operation of a micro company, it is vital to have optimal back office management, which today is strongly interconnected with accounting and booking software, CRM system and web applications. The software modules, which are connected to each other, enable faster and more effective office work and generation of documentation, which is needed to offer the customers optimal services. Micro companies mostly do not have specifically divided work areas or departments, so they don’t have specific workforces, who would offer support at different phases of work. That is the reason, why it is even more important to choose the appropriate back office tools, so the manager can organize the work with maximum effect. The manager in a micro company is responsible for all activities of the company and available office tools that help fulfill these activities successfully. In company Zagros Ltd. to which this diploma work is closely related, the manager as well as the employee must know and execute all the work processes in the company – from searching of new sales leads, registering new clients, generating offers, counselling, material ordering, preparing of packages, issuing technical documentation (technical datasheets, certificates, declarations of conformity) till the deal closure, when the full payment of the delivered goods and services is received. With effective and interconnected software solutions, through which they can access all needed information in a given moment and place, work is done faster, more effective and with higher quality. For that reason it is crucial, what kind of back office management tools they implement in a micro company. Equally important is also that they can use these tools properly and effectively.
