Povzetek

Izhodišče raziskave predstavlja trditev, da vsaka pretvorba e-dokumentov iz izvirne v obliko zapisa (format) za dolgoročno hrambo lahko pomembno vpliva na ohranjanje njihovih bistvenih lastnosti in s tem na njihovo varno dolgoročno ohranjanje. Zato smo si kot osrednji cilj disertacije zastavili oblikovanje celovitega pristopa k pretvorbi e-dokumentov, s katerim lahko zmanjšamo izgubo njihovih bistvenih lastnosti ter s tem povečamo možnosti ohranjanja njihove verodostojnosti in ponovne uporabe za ves čas hrambe. Kot ključne dejavnike, ki vplivajo na uspešno izvedbo pretvorbe, smo identificirali določitev načel, s katerimi dolgoročno hrambo e-dokumentov lahko opredelimo kot varno, izbiro ustreznih formatov in programskih orodij za izvedbo pretvorbe.Raziskovalnega problema smo se lotili najprej s študijo literature in proučitve dobrih praks. Na osnovi pridobljenih ugotovitev smo zasnovali teoretična modela, in sicer model načel, s katerimi bi lahko dolgoročno hrambo e-dokumentov opredelili kot varno in model Povzetek xii kriterijev, ki naj bi jih izpolnjevali formati, da bi bili primerni za dolgoročno hrambo. Pri pregledu virov nismo zasledili, da bi ti obravnavali kriterije za izbiro pretvornikov. Nadalje smo identificirali in analizirali različne pristope k pretvorbi formatov ter ugotovili, da se med seboj razlikujejo predvsem glede na namen in čas, kdaj pretvorbo izvajamo, obseg in zahtevnost kot tudi po formatih, v katere e-dokumente pretvarjamo. Empirično validacijo ugotovitev ter teoretičnih modelov predstavlja anketa, ki smo jo izvedli med nacionalnimi arhivi držav članic EU, Norveške in Švice. V okviru tretjega sklopa raziskav smo na podlagi študije primerov pretvorb preverjali ugotovitve iz prvih dveh raziskav. V prvem delu smo na podlagi lastnih primerov pretvorb proučevali različne, predhodno prepoznane pristope k pretvorbi ter v povezavi s tem ugotovili, da izbira formatov in pretvornikov vpliva na ohranjanje lastnosti izvirnih e-dokumentov. V drugem delu študije smo analizirali format PDF/A in ugotovili, da v celoti ne izpolnjuje kriterijev, ki jih določajo slovenski predpisi. Rezultate predhodnih raziskav smo sintetizirali in analizirali ter ugotovili, da je strategija pretvorbe e-dokumentov najprimernejša strategija za njihovo dolgoročno ohranjanje. Analiza identificiranih pristopov k pretvorbi je pokazala, da je najbolj primeren pristop k pretvorbi normalizacija. V zaključnem delu disertacije smo predstavili celovit pristop k pretvorbi e-dokumentov v formate, primerne za dolgoročno hrambo. S predlaganim pristopom lahko zmanjšamo izgubo bistvenih lastnosti izvirnih e-dokumentov in s tem povečamo možnosti njihove varne dolgoročne hrambe ter ponovne uporabe. Celovit pristop temelji na okvirnem teoretičnem pristopu, ki ga predstavlja standard ISO 13008. Tega smo specializirali in konkretizirali s predlaganimi modeli. Raziskave so pokazale, da poleg že omenjenih rešitev potrebujemo še natančno dokumentirana pravila za izvedbo procesa pretvorbe vse od njegovega načrtovanja do končne potrditve uspešnosti. Pri tem je treba ločeno obravnavati skrb za ohranjanje e-dokumentov, ki so bili ustvarjeni v formatih, ki niso več združljivi z danes uveljavljeno tehnologijo, od tistih, ki jih ustvarjamo danes oz. jih bomo v bodočnosti. Pri interpretaciji raziskav je treba upoštevati omejitve metod raziskovanja, vzorcev, ki smo jih uporabljali v raziskavah in tehnik analize. Rezultati raziskav disertacije so lahko osnova za številne izvirne rešitve, ki lahko pozitivno vplivajo na razvoj področja dolgoročnega ohranjanja različnih e-zapisov.

Sekundarni povzetek: The starting point of this research is represented by the statement, that every e-document conversion from its original form into a format for long-term digital storage can significantly affect the preservation of their essential characteristics and consequently also the safe long-term preservation of these documents. That is why the main goal of this dissertation was to form a holistic approach for e-documents conversion, which can decrease the loss of their essential characteristics and increase the possibility to preserve their authenticity and reuse for the duration of the storage. The key factors, affecting a successful conversion, were defined as the definition of principles, which ensure the safety for long-term storage of e-documents as well as the selection of appropriate formats and software tools for implementing the conversion. The research problem was initially tackled with the study of literature and good practice analysis. Based on the findings, two theoretical models were developed: a principle model,with which long-term storage of e-documents can be qualified as safe, and a criteria model, involving the criteria, the formats have to meet in order to be suitable for long-term storage. A review of sources showed no consideration of criteria for converter selection. Furthermore different approaches to format conversion were identified and analyzed, which revealed they differentiate primarily in their purpose and the time of conversion, the scope and difficulty, as well as the formats, in which the e-documents were converted. The empirical validation of the findings and theoretical models is represented in a survey, conducted in the national archives of EU Member States, Norway and Switzerland. The third part of the research involved the evaluation of the findings from the first two parts, based on a case study of conversions. In the first part we examined previously recognized different conversion approaches, based on our examples, which led to the conclusion, that the selection of formats and converters affects the preservation of characteristics of the original e-documents. In the second part of the study we analyzed the format PDF/A and concluded that it does not fully comply with the criteria, defined by Slovene legislation. The results of former researches were synthesized and analyzed, which led to the conclusion that the strategy of e-documents conversion is the most appropriate strategy for their long-term preservation. The analysis of identified approaches to conversion revealed, that the most appropriate approach to conversion is normalization.The final part of the dissertation shows a holistic approach to converting e-documents into formats, appropriate for long-term storage. The proposed approach can reduce the loss of essential characteristics of original e-documents and consequently enhances the possibilities of a safe long-term storage and reuse. The comprehensive approach is based on a framework theoretical approach, represented in the standard ISO 13008. This standard has been specialized and expressed with the proposed models. The research shows that we need not only the aforementioned solutions but also precise documented rules for implementation of the conversion process from its planning stage to final success confirmation. In this regard one has to distinguish between the concern for preservation of e-documents, created in formats that are no longer compatible with today's technologies, and those, created today and also in the future. The interpretation of research must take into consideration the limitations of research methods and samples, used in the research, as well as analysis techniques. The results of the dissertation can serve as a basis for multiple original solutions, which can have a positive effect on the development in the filed of long-term preservation of various e-records.
